Job Description

Business Development Representative (HIM & Provider Outreach) – Job Duties

Outbound Prospecting & Activity Expectations

  • Make 100+ outbound calls daily to Hospitals, Physician Groups, and Medical Practices.
  • Execute targeted outreach to HIM Directors, Health Information Management leaders, Directors of Operations, Office Managers, Administrators, and Compliance leaders.
  • Maintain consistent daily/weekly activity metrics (calls, conversations, scheduled meetings).

Appointment Setting & Lead Qualification

  • Identify decision-makers responsible for Release of Information, HIM operations, Medical Records, Compliance, or Practice Management.
  • Deliver a concise, value-driven pitch that clearly communicates ChartMate’s ROI Services and Automation tools.
  • Qualify leads based on organization size, ROI pain points, current vendor, contract term, and volume.
  • Schedule meetings (virtual or onsite) for the Sales Team with qualified prospects.
  • Confirm meetings, send calendar invites, and ensure all relevant prospect information is passed to Sales.

Market Research & Target List Development (For Remote Reps team) 

  • Research Hospital HIM departments, Medical Groups, and Office Managers to build and maintain an accurate prospecting list.
  • Identify independent hospitals, private physician groups, and organizations not using ChartMate.
  • Monitor competitor presence (e.g., MRO, ShareCare, Verisma, DataVant, Provider 1st, HealthMark).
  • Research insights on industry trends, provider workflows, and ROI pain points to improve outreach effectiveness.

Messaging, Pitching & Objection Handling

  • Follow an approved outreach script while customizing messaging by prospect type (Hospital vs. Physician Group).
  • Communicate ROI workflow improvements, Faster Turnaround Times, Pricing Models, Patient Portal, and Automation Tools.
  • Handle common objections such as "We already have an ROI vendor," "We do it internally," or "We’re under contract."
  • Clearly explain what differentiates ChartMate (service, technology, client support, compliance).

Collaboration with Sales & Leadership

  • Work closely with the Sales Team to ensure smooth hand-off of qualified leads.
  • Participate in weekly pipeline reviews and strategy sessions (as needed).
  • Provide front-line feedback on messaging effectiveness and market response.
  • Help refine target lists and outreach strategies based on results.

Professionalism, Compliance & Brand Representation

  • Represent ChartMate professionally in all interactions with healthcare staff.
  • Understand HIPAA considerations enough to communicate responsibly (no PHI is handled).
  • Protect ChartMate’s brand reputation by delivering respectful, informed outreach.
  • Ensure all communications adhere to regulatory and organizational standards.
